Scheduled Refresh

Any chart created from an external data source can be set to automatically refresh on a periodic basis (daily or weekly). The Scheduler is only available in the Team Version of OrgChart Now. During the refresh process the data source will be re-queried. If the data source is not available (e.g. UltiPro or ADP), the refresh will fail.

Setup

  1. Login to OrgChart Now using an administrator account
  2. Open your chart
  3. Select the REFRESH tab and then click on the Scheduler button
  4. Check the 'Automatically refresh chart' option
  5. Set the frequency to daily or weekly
  6. Set the Time for the refresh (all times much be converted to GMT or UTC time)
  7. If refreshing weekly, set the day of the week to refresh
  8. Enter a comma delimited list of emails into the 'Email Notification' text box (recommended)
  9. Click OK

Considerations

  • To convert time use the following site - http://www.worldtimeserver.com/current_time_in_UTC.aspx
  • If your chart file is moved or renamed any associated refresh will fail (a notification will go out to the 'Email Notification' list). If this happens you will need to setup up Scheduler entry again.
  • Only warnings/errors are sent to the email notification list. At this time, email notifications are not sent out for successful refreshes.
  • Refreshes are not guaranteed to occur exactly as scheduled. Refreshes may occur up to 15 minutes after the scheduled time.
  • You can manually refresh at any time using the Refresh button (under the REFRESH tab)
