Import Wizard
The Import Wizard automatically creates an org chart from a data source such as Excel spreadsheet or a cloud based HRIS.
Select a Connector
- Click on the Import Wizard button to select a connector.
- Select Data File to Import
- If you are using cloud connector, you can skip this step.
- Before you use the import wizard to import an Excel file, you must first create a spreadsheet containing your data.
- Sample - Download a sample Excel spreadsheet to your computer.
- Import Data - Select a spreadsheet to import.
- Filter Data
- If needed, you can filter your data. For example, you can import only a specific department ('Marketing').
- Create multi-chart document - Break your chart into multiple independent charts within a single document (e.g. one chart for each department).
- Specify data filter - Check to define a data filter.
- Matches only - Only include records that match the defined filter.
- Include direct subordinates - Include matches plus records that report to matches. For example, you can create a chart containing the top two levels of an organization by filtering to match the 'CEO' and then selecting this option.
- Include all subordinates - Include matches plus plus records that report directly or indirectly to matches. For example, you can create a chart containing a branch of an organization by filtering to match a specific 'top box' and then checking this is option.
- Include Chain of Command - Include one additional level of management with the filtered data.
- You can also break your chart into a multi-chart document. A multi-chart document allows you to manage multiple independent charts within a single document.
- If needed, you can filter your data. For example, you can import only a specific department ('Marketing').
- Define Fields
- Including Name and Title fields in your data is highly recommended so that you can easily take advantage of all the predefined chart templates and box styles.
- Also, in order to automatically build an org chart, your spreadsheet must contain 'Person ID' and 'Supervisor ID' fields. These fields are required to build a hierarchy.
- Data contains hierarchy fields - If your data does not contain hierarchy information uncheck this option. Vist the 'Parking Lot' topic for further instruction.
- Person ID - Select a field that uniquely identifies a person. For example, an 'employee ID' field.
- Supervisor ID - Select a field that identifies a person's supervisor.
- Name - Select the field that contains the employee name.
- Title - Select the field that contains the employee title.
- Photo (Optional) - Select the field that contains a reference to an employee photo.
- Assistant Rule (Optional) - Define a rule that can be used to identify assistants (e.g. Title equals 'Executive Assistant').
- Subchart Breaks
- You can automatically breaks a chart into multiple subcharts (recommended for charts containing over 50 boxes).
- Do not insert breaks - Chart will be on a single page.
- Break by level - Break chart every N levels.
- Break by field - Break chart using a field (for example, 'Department' or 'Business Unit').

- Select Chart Template
- OrgChart NOW comes with a library of pre-defined (System) Chart Templates. You can also define your own 'User Templates.'
- Chart Templates - A list of available Chart Templates. You can switch between 'System' and 'User' templates using the radion buttons located below the template list.

- Master Page
- The master page contains elements that are included on every page of your chart.
- Blank Master Page - Do not add a master page.
- Standard Master Page - Add a master page containing company name, subchart name, subchart number and today's date.
- Custom Master Page - Add a master page from the selected template.
- The master page contains elements that are included on every page of your chart.
Tips and Tricks
- If there are breaks in your hierarchy, OrgChart NOW will put all 'orphan' records in the parking lot. Visit the 'Parking Lot' topic for more information.
- There is no limit to the number of fields you can include in your spreadsheet (e.g. Name, Title, Email, Phone, Location, etc.)
- All spreadsheets must contain a header row that identifies field names.
- After import, you can apply different templates using the Chart Templates panel.
- A file called 'Sample Data - Filter on Dept' is included in the 'Samples' folder. It can be used to experiment in the 'Filter Data' step.
